Calling for administrators and Co-ordinators!
This exciting role is to co-ordinate and be responsible for all round office administration within the Divisional department. Prioritising and managing your workload and time with minimal supervision on tasks and responsibilities that is delegated and complete with appropriate standards of quality are integral skills required for this role.
You will be expected to make independent decisions around the standard routine procedures whilst continuing to follow established processes and guidelines set.

Duties:
As an assistant administrator, you will give support across the Human Resources, finance and related processes for the division. This includes:

  • Arrange seminars; co-ordinating accommodation for speakers, assisting with speakers expense claims, arranging catering.
  • Provide support and assistance with travel arrangements which include booking flights, trains, hotels, taxis and co-ordinating reimbursements for their expenses.
  • Assist with arrangements of events and functions
  • General typing of correspondence, letters, abstracts etc
  • Manage divisional resources such as seminar rooms, laptops, display screen, office equipment etc
  • Preparation and updating forms and documentations required behalf of the HR such as managerial changes, contracts, changes.
  • Co-ordinating with HR and finance on completion of financial documentations such as expense claims, probation reports and other claims.
  • On-boarding new staff and ensuring all processes and smoothly completed and welcomed into the relevant laboratory; assisting with leaving staff and completing exit processes and associated documentations in a timely manner.
  • Provide efficient and effective support to our teams



Ideal candidate will possess the following:

  • Prior experience of working in an administration role
  • Ability to work as part of the team and own initiative.
  • Excellent command of the English language both oral and written
  • Excellent communication skills
  • Sound knowledge of Word and Excel
  • Ability to work under pressure
  • Excellent organisational skills
  • Excellent report writing skills
  • Be able to interact with all levels of the business
  • Ability to organise and prioritise your own workload
